I respect your privacy and am committed to protecting your personal data, project files, and intellectual property. This Privacy Policy explains how I handle your information when you visit my website or hire my voiceover services.

In alignment with the National Association of Voice Actors (NAVA) and the fAIrVoice Pledge, I maintain strict boundaries against unauthorized synthetic automation and artificial intelligence data harvesting.

1. Information I Collect

I only collect information necessary to communicate, quote, and complete voiceover projects. This includes:

  • Contact Details: Your name, company name, email address, and phone number.

  • Project Materials: Scripts, creative direction notes, and video references sent to me via email or external file-sharing links.

  • Financial Information: Billing details, any applicable or relevant tax IDs, and corporate addresses used solely for processing invoices.

2. Strict AI and Synthetic Voice Restrictions

I strictly prohibit the use of my voice, name, likeness, or materials for automated voice synthesis.

  • No AI Training: Audio files, custom auditions, final master files, scripts, and text associated with our work together may not be used to train, test, or develop artificial intelligence (AI), machine learning models, large language models (LLMs), text-to-speech (TTS) systems, or synthetic voice clones.

  • No Data Harvesting: Visitors and clients are prohibited from scraping, downloading, or harvesting any audio samples or demos from this website for the purpose of AI analysis, algorithmic training, or synthesis.

3. Data Storage and File Retention

I employ secure measures to protect your creative assets and final audio deliverables.

  • Secure Storage: All project scripts and final master recordings are stored on secure, encrypted local drives and trusted, password-protected cloud storage.

  • Confidentiality: I treat all client scripts and unreleased project details as strictly confidential. I will never share your materials with outside parties without your explicit permission.

4. Your Rights

You maintain ownership of your scripts and corporate materials. You have the right to request that I update your contact information or permanently delete your scripts and contact history from my records at any time, subject to completing any active, paid contracts.

Terms & Conditions

Welcome, and thank you for considering Zach Mayo Voiceover for your project.

These Terms & Conditions are intended to create a professional, transparent working relationship between Zach Mayo Voiceover (“Voice Actor”) and the Client. By requesting services, approving a quote, issuing a purchase order, authorizing work to begin, making payment, or otherwise engaging Zach Mayo Voiceover, the Client acknowledges and agrees to these Terms & Conditions unless superseded by a separate written agreement signed by both parties.

 

1. Quotes & Estimates

All quotes are based on the information provided at the time of inquiry, including but not limited to:

  • Script length

  • Intended usage

  • Distribution platform(s)

  • Geographic territory

  • Campaign duration

  • Project scope

  • Turnaround requirements

  • Production specifications

Quotes remain valid for thirty (30) days unless otherwise stated.

Any material change to the project—including script revisions, expanded usage, additional deliverables, new distribution channels, or revised deadlines—may require a revised quote.

 

2. Booking & Payment

A booking is confirmed once both parties agree upon the project scope and pricing.

Invoices are payable according to the payment terms listed on the invoice unless otherwise agreed in writing.

Late payments may be subject to interest or late fees as permitted under applicable law.

No usage rights are granted until payment has been received in full.

 

3. Recording Services

Each booking includes:

  • Professional recording session

  • Broadcast-quality editing and cleanup

  • Delivery in the agreed-upon audio format

  • One (1) round of reasonable performance revisions

Performance revisions include adjustments such as:

  • Tone

  • Pace

  • Energy

  • Emphasis

  • Timing

The following are considered new work and may incur additional charges:

  • Script rewrites

  • Copy additions

  • Pronunciation corrections not previously disclosed

  • Creative direction changes after approval

  • Additional recording sessions

  • Pickups resulting from client script changes

 

4. Turnaround & Rush Services

Turnaround begins upon receipt of:

  • Final approved script

  • Correct pronunciation guidance (when applicable)

  • Technical delivery specifications

  • Purchase order (if required)

Rush, evening, weekend, or holiday sessions may be subject to additional fees depending upon scheduling and availability.

 

5. Usage License

Unless otherwise agreed in writing, payment grants the Client a non-exclusive, non-transferable, limited license to use the final approved recording only for the specific:

  • Media

  • Territory

  • Duration

  • Purpose

  • Distribution channels

licensed at the time of booking.

Additional usage—including but not limited to new advertising campaigns, additional territories, paid digital advertising, broadcast expansion, renewals, extended campaign durations, or additional media—requires written approval and may require additional licensing fees.

All rights not expressly granted remain exclusively reserved by Zach Mayo Voiceover.

 

6. Union & Non-Union Compliance

Zach Mayo Voiceover provides services for both union and non-union productions, subject to applicable laws and collective bargaining agreements.

For projects produced under a SAG-AFTRA or other applicable collective bargaining agreement, the provisions of the applicable agreement shall govern wherever they conflict with these Terms & Conditions. Nothing contained herein shall be interpreted as waiving or limiting any performer rights, compensation, consent requirements, residuals, or protections provided under such agreements.

For non-union projects, these Terms & Conditions govern unless superseded by a separately negotiated written agreement.

Regardless of union status, no rights are granted for artificial intelligence, Digital Replica creation, voice cloning, biometric voice modeling, or related technologies except through a separate written agreement expressly authorizing such use.

 

7. Artificial Intelligence (AI), Digital Replica & Biometric Voice Rights

The voice of Zach Mayo is a unique professional performance and valuable intellectual property.

The Client receives only the specific usage rights expressly licensed. No ownership interest in Zach Mayo’s voice, vocal identity, vocal likeness, performance style, or any digital representation thereof is transferred.

Without the prior written consent of Zach Mayo, the Client shall not, nor permit any third party to:

  • Train, fine-tune, benchmark, evaluate, or improve any artificial intelligence, machine learning, neural network, speech synthesis, text-to-speech, voice conversion, voice synthesis, large language model, or similar technology using any recording.

  • Create, generate, develop, or assist in creating any Digital Replica, cloned voice, synthetic voice, voice model, speech model, voice font, or similar simulation.

  • Analyze, extract, fingerprint, tokenize, capture, derive, infer, or reproduce biometric voice characteristics from any recording.

  • Upload recordings to AI datasets, repositories, model libraries, or training platforms.

  • Use recordings to create derivative works intended to imitate or simulate Zach Mayo’s voice.

  • Sell, transfer, sublicense, distribute, or otherwise provide recordings to any third party for AI-related purposes.

  • Use recordings for automated speech generation, conversational AI, virtual assistants, dubbing systems, localization models, biometric authentication, identity verification, or similar technologies.

For purposes of these Terms, a Digital Replica means any computer-generated, AI-generated, algorithmically generated, synthesized, cloned, simulated, or otherwise recreated version of Zach Mayo’s voice that is recognizable as or substantially similar to his natural speaking or performing voice.

No consent is granted for the creation or use of any Digital Replica, synthetic voice, cloned voice, biometric voice model, or similar technology unless separately negotiated through a written agreement signed by both parties. Any such agreement shall require separate compensation and expressly define the authorized scope, duration, territory, storage requirements, security measures, and destruction of any authorized materials.

Any unauthorized AI use, Digital Replica creation, biometric voice extraction, or synthetic voice generation constitutes a material breach of this agreement, exceeds the scope of the granted license, and may result in immediate termination of all licensed usage rights, in addition to any other remedies available under applicable law.

 

8. No Implied Rights

No license, permission, ownership interest, consent, or authorization shall be implied from this agreement beyond those expressly granted in writing.

Any rights not specifically licensed to the Client are expressly reserved by Zach Mayo Voiceover. Silence regarding any particular use shall not be interpreted as permission or consent.

 

9. Auditions

Custom auditions are provided solely for casting evaluation.

Audition recordings remain the exclusive intellectual property of Zach Mayo Voiceover.

Audition recordings may not be:

  • Broadcast

  • Published

  • Distributed

  • Edited

  • Commercially exploited

  • Used as temporary production audio

  • Shared with third parties except those directly involved in casting

  • Retained for AI training

  • Included in machine learning datasets

  • Used for Digital Replica creation

  • Used for biometric voice modeling

  • Used for synthetic speech generation

Audition recordings may be retained only for the time reasonably necessary to complete casting decisions and shall not be used for any purpose other than evaluating Zach Mayo for the specific project for which the audition was submitted.

 

10. Ownership

Until payment has been received in full, all recordings remain the sole property of Zach Mayo Voiceover.

Upon full payment, the Client receives only the licensed usage rights described in the booking.

Unless separately negotiated, the following are not included:

  • Raw session files

  • Alternate takes

  • DAW project files

  • Source recordings

  • Unused audio

  • Session archives

 

11. Client Responsibilities

The Client is responsible for providing:

  • Final approved script

  • Accurate pronunciation guidance

  • Technical specifications

  • Intended usage

  • Delivery deadlines

  • Complete licensing information

Delays resulting from incomplete or inaccurate information may affect delivery schedules.

 

12. Cancellations

If work has begun and a project is cancelled, the Client agrees to compensate Zach Mayo Voiceover for all work completed through the cancellation date, including preparation, recording, editing, and studio time.

Completed work delivered prior to cancellation remains billable.

 

13. Confidentiality

All confidential scripts, unreleased products, business information, and proprietary materials supplied by the Client will be treated as confidential unless publicly available or otherwise authorized for disclosure.

 

14. Portfolio & Promotional Rights

Unless prohibited by a written Non-Disclosure Agreement (NDA) or other written agreement, Zach Mayo Voiceover may display the Client’s name, logo (where publicly available), and brief excerpts of completed work in demo reels, portfolios, websites, social media, award submissions, and other promotional materials after the project has been publicly released.

 

15. Limitation of Liability

To the fullest extent permitted by law, liability arising from this agreement shall be limited to the total amount paid for the specific project giving rise to the claim.

Neither party shall be liable for indirect, incidental, consequential, punitive, special, or exemplary damages.

 

16. Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of laws principles.

Any dispute arising under these Terms shall be resolved in the state or federal courts located within the State of Texas, and both parties consent to the jurisdiction of those courts.

 

17. Severability

If any provision of these Terms & Conditions is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.

 

18. Entire Agreement

These Terms & Conditions constitute the entire agreement between the parties regarding the services provided unless superseded by a separate written contract signed by both parties.

No waiver or modification of these Terms shall be effective unless made in writing and signed by both parties.
